LET’S PLACE A GSA ORDER!
Space Planning is done, through your efforts and education, the end user is fully aware of and confident that Maxon is the BEST VALUE bang for their buck! Allow me to digress for a quick moment. I often see the two words “Best Value” used synonymously when talking about GSA; it’s no coincidence because GSA defines these two words respectively: “Best value is determined through a process that compares strengths, weaknesses, risk, price, and performance, in accordance with selection criteria, to select the most advantageous value to the Government.” The formula that calculates these attributes always results in the same answer: Maxon!!

Back to business, let’s briefly talk about that order you are going to submit to our Order Services Dept. Listed below are the top discrepancies that result in delays during order processing:

  1. Cage Code incorrect-ensure the correct cage code for Maxon is on the government contract (1QKD6)
  2. Incorrect Address-ensure Maxon’s correct address (660 SW 39th St., Ste 150, Renton, WA 98057) is on the contract
  3. Product missing the color codes-ensure the color codes are annotated for each product requiring color selection
  4. Correct GSA pricing/discount-OK, this is a foot stomper!! Ensure you are using the correct pricing and discounting tiers, this could be a decisive factor in whether you win, lose or get return business
  5. Missing GSA Order Analysis Form-Virtually every problem listed above (and below) could be prevented if this form is submitted with every GSA order

Now let’s throw a small wrench in the spokes, it’s a government credit card order!! No problem, simply include the government credit card order form. Time for another foot stomper: please make sure the credit card holder signs the order form, the card cannot be processed without this signature.

MODIFICATIONS-CHANGE IS NOT GOOD
I’m going to talk about the dreaded subject in the government contracting world, MODIFICATIONS (we call em’ mods for short, hmm, only four letters……). A modification is needed when there is a significant difference between what the government contract and the Maxon invoice reflect. Now what is significant ?

  1. Cage Code incorrect
  2. Government contract made out directly to the dealer
  3. Maxon GSA Contract number incorrect (GS-28F-0013K)
  4. Net price exceeds the amount on the government contract
  5. Gross deviation in product

These are the major show stoppers that can result in an order being placed on hold. Remember, it is the dealer’s responsibility to contact the appropriate end user/agency for modifications. Mods can sometimes take weeks to get from the contracting officer, depending on how busy they are, so we want to avoid them as much as possible.
